Spreadsheets vs digital food safety checks

Shared spreadsheets feel free and familiar: one tab per fridge, a column for each day, conditional formatting if someone remembers. They break when access control, concurrent edits and inspection pressure collide.

Purpose-built digital checks are not “a fancier sheet.” They are workflows: who completed the task, which branch, required fields, failed-check follow-up and export without hunting version history.

Where spreadsheets struggle

Staff overwrite cells, copy last week’s numbers or leave shared links open to the whole team. Offline kitchens and phone screens make wide grids painful. There is no clean overdue queue for managers across branches.

Evidence for an EHO is often a printout or a messy export with no identity trail — and corrective actions live in a side note tab nobody maintains.

What structured digital systems add

Templates, mobile-first capture, branch scope, timestamps, exception handling and evidence packs by date range. Permissions can match kitchen roles instead of “anyone with the link.”

Spreadsheets still work for one-off analysis. They should not be the live system of record for opening checks and out-of-range fridges.

When a sheet is still fine

A single micro-site with one owner, low turnover and rare inspections may keep a tidy sheet for a while. Cost of software should be weighed against manager time, multi-site risk and how often records are incomplete.

Frequently asked questions

Can we export data from Complytio into a spreadsheet?+

Evidence and reporting flows are designed for inspection-ready packs. Use exports when you need offline copies; keep day-to-day checks in the product so history stays consistent.

Do we lose flexibility vs custom columns?+

Templates and task fields cover common hospitality checks. Extreme custom analytics can still leave the system via export — without making every shift edit a shared grid.
